Why Bureau Credentialing Takes So Long (And How to Fix It)

Why Bureau Credentialing Takes So Long (And How to Fix It)

Report to Credit Bureaus

A dealer in Southern California came to us in early 2024. About 114 accounts on the books, using DealerCenter, wanted to start reporting payments to help his customers build credit. Simple enough, right?

It took over two years.

Not because of us. Not because of him. Because credit bureau credentialing is a black box, and no one inside the bureau seems to own the process end-to-end.

Here’s what actually happened

We submitted his information to Experian in early 2024. Months of silence. Follow-ups bounced between departments. The dealer called, left messages, emailed. Nothing.

By late 2025, he finally received a subscriber code. Great, we thought. We converted his DealerCenter data to Metro 2 format and prepared to submit his first file.

Then our data team hit a wall: Experian wouldn’t accept the file. The subscriber code he’d received? It was for pulling credit reports, not furnishing payment data. Two different things, same bureau, zero clarity.

We dug deeper. Turns out his application had been placed “on hold” months earlier because Experian never received certain inspection documents. Nobody told him. His assigned rep went dark. Internal teams pointed fingers at each other.

The real problem isn’t the paperwork. It’s the process.

Bureaus require a direct relationship with the data furnisher. They won’t loop in your service provider. They won’t chase you down if something’s missing. Your application just… sits.

What finally worked:

  • We identified the exact missing requirement from buried email threads
  • Gave the dealer a specific case number to reference
  • Provided a step-by-step script for calling Experian
  • Escalation instructions when his rep remained unresponsive

The lesson for dealers

  1. Getting a subscriber code doesn’t mean you’re credentialed to report. These are two different things. A subscriber code for pulling credit is not the same as being approved to furnish payment data.
  2. Bureaus will put your application on hold without telling you. There’s no automated notification. No status portal. Your application just stops moving.
  3. Daily follow-up (phone + email) is the only thing that moves the needle. The bureaus are large organizations with massive backlogs. Persistent, polite follow-up is the only proven strategy.
  4. Having a service provider who knows where the bodies are buried saves months. We’ve seen this pattern dozens of times. The dealers who get through fastest are the ones who stay persistent and have someone in their corner translating bureau-speak into plain English.
